This Privacy Policy describes how Zuldeira Technologies LLC, operating as Zuldeira Studios ("we," "us," or "our"), collects, uses, stores, and protects information in connection with our services, including but not limited to:
- AI Voice Agent services for businesses
- Custom website development
- Custom application development
This policy applies to our business clients ("Clients"), the end users who interact with our AI Voice Agents ("Callers"), and visitors to our website. By using our services, you agree to the practices described in this policy.

2. Information We Collect
2a. Client Information
When you engage our services as a business client, we may collect:
- Business name, contact name, email address, and phone number
- Business address and operating hours
- Service menus, pricing, and business policies
- Scheduling system credentials and integration details
- Payment and billing information
2b. Caller Information (AI Voice Agent)
When someone calls a phone number serviced by our AI Voice Agent, we may collect:
- Caller's phone number (via caller ID)
- Caller's name (if provided during the call)
- Appointment details (date, time, service requested)
- Voice data and call recordings (see Section 3)
- Language preference
- Call duration and timestamp
- Messages or special requests communicated during the call
2c. Technical Information
We may automatically collect:
- Call metadata (duration, time, routing information)
- System performance and error logs
- Integration activity logs with scheduling systems
3. Voice Data & Call Recordings
Our AI Voice Agent processes voice data in real time to understand and respond to callers. This section explains how we handle voice data:
3a. Real-Time Voice Processing
Voice input is processed in real time using AI speech recognition and natural language processing to understand caller intent, extract appointment details, and generate appropriate responses. This processing occurs during the call and is necessary to provide the service.
3b. Call Recording
Calls handled by our AI Voice Agent may be recorded for quality assurance, service improvement, and dispute resolution. Where required by applicable law, callers will be notified at the beginning of the call that the call may be recorded.
3c. Voice Data Retention
- Call recordings are retained for a maximum of 90 days unless a longer retention period is required by law or requested by the Client
- Real-time voice processing data is transient and is not stored after the call ends
- Call transcripts and summaries may be retained for the duration of the Client relationship
3d. AI & Machine Learning
Voice data may be used to improve our AI Voice Agent's performance, accuracy, and natural language understanding. When used for improvement purposes, data is anonymized and aggregated. We do not use identifiable caller voice data to train models for unrelated purposes.
4. SMS Appointment Confirmations
When our AI Voice Agent books an appointment on behalf of a salon, we may send the caller a single SMS text message to confirm the appointment details. This section explains how we handle SMS messaging:
4a. Consent
During the phone call, our AI Voice Agent will verbally ask the caller for permission to send a text message confirming their appointment. SMS messages are only sent with the caller's explicit verbal consent. If the caller declines, no text message will be sent.
4b. Message Content & Frequency
- Content: SMS messages contain only appointment confirmation details (date, time, service, and salon name)
- Frequency: One (1) message per appointment booked — no follow-ups, no reminders, no promotional content
- No marketing: We will never use the caller's phone number to send marketing messages, promotional offers, or any content unrelated to the specific appointment booked during that call
4c. Opt-Out
Callers may opt out of receiving SMS messages at any time by:
- Replying STOP to any message received
- Declining consent when asked during the call

4d. Carrier Disclaimer
Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
5. How We Use Information
We use collected information for the following purposes:
- Service delivery: Answering calls, booking appointments, routing messages, and integrating with Client scheduling systems
- Service customization: Training the AI Voice Agent on Client-specific services, pricing, hours, and policies
- Quality assurance: Reviewing call interactions to improve accuracy and caller experience
- Communication: Contacting Clients about their account, service updates, and support
- Billing: Processing payments and managing Client accounts
- Legal compliance: Meeting legal and regulatory obligations
- Appointment confirmations: Sending a single SMS confirmation to callers who consent during the call (see Section 4)
- Service improvement: Improving our AI technology, voice recognition, and natural language processing capabilities using anonymized data
6. Data Sharing & Third Parties
6a. Sharing With Clients
Information collected from Callers (appointment details, messages, call summaries) is shared with the Client whose business the caller contacted. This sharing is necessary to provide the scheduling and communication service.
6b. Third-Party Service Providers
We work with trusted third-party providers to deliver our services:
- Twilio: Telephony and SMS messaging infrastructure for phone number provisioning, call routing, and sending appointment confirmation text messages
- ElevenLabs: AI voice synthesis for generating natural, human-like speech during calls
- Workflow automation (n8n): To connect call data with Client scheduling systems and automate appointment booking
- Scheduling platform APIs: To book and manage appointments in Client systems
- Cloudflare: Secure cloud infrastructure and hosting
These providers are contractually obligated to use data only for the purposes of providing their services to us and to maintain appropriate security measures.
6c. We Do Not Sell Data
We do not sell, rent, or trade personal information, caller data, voice recordings, or phone numbers to any third party for marketing or advertising purposes.
6d. Legal Requirements
We may disclose information if required by law, court order, or governmental request, or if we believe disclosure is necessary to protect our rights, safety, or property.
7. Data Security
We implement industry-standard security measures to protect information, including:
- Encryption of data in transit (TLS/SSL) and at rest
- Secure authentication for Client accounts and system integrations
- Access controls limiting data access to authorized personnel
- Regular security reviews and monitoring
- Secure cloud infrastructure through Cloudflare
While we take reasonable measures to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
8. Data Retention
- Client account data: Retained for the duration of the business relationship and up to 12 months after termination
- Call recordings: Up to 90 days (unless otherwise agreed or required by law)
- Call transcripts and summaries: Duration of the Client relationship
- Appointment data: Synced to Client's scheduling system; our copies retained for the duration of the Client relationship
- Billing records: Retained as required by tax and financial regulations
- Anonymized/aggregated data: May be retained indefinitely for service improvement
9. Caller Rights
If you have interacted with our AI Voice Agent as a caller, you have the following rights:
- Right to know: Request information about what data we have collected about you
- Right to deletion: Request deletion of your personal information and call recordings
- Right to opt out: Request that your calls not be recorded (where applicable)
- Right to correction: Request correction of inaccurate information

10. Client Rights & Responsibilities
As a Zuldeira Studios Client, you have the right to:
- Access and download your call data, transcripts, and reports
- Request deletion of your account and associated data
- Modify your AI Voice Agent's configuration at any time
- Terminate service with 30 days' written notice
As a Client, you are responsible for:
- Informing your callers/customers that calls may be handled by an AI voice agent
- Complying with all applicable laws regarding call recording in your jurisdiction
- Ensuring the accuracy of business information provided for AI agent configuration
- Maintaining the security of your account credentials and integration access
11. Telecommunications & SMS Compliance
Our AI Voice Agent and SMS services operate in compliance with applicable telecommunications regulations, including:
- Telephone Consumer Protection Act (TCPA) — including requirements for prior express consent before sending SMS messages
- State-specific call recording consent laws (one-party and two-party consent states)
- FCC regulations regarding automated call handling
- CTIA Short Code Monitoring guidelines for SMS messaging
Where required by law, our AI Voice Agent will disclose its AI nature and/or that the call may be recorded at the beginning of each call. SMS appointment confirmations are sent only after obtaining verbal consent from the caller during the call.
12. Children's Privacy
Our services are designed for businesses and are not directed at individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from a child under 13, we will delete it promptly.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will notify Clients by email and update the "Last Updated" date at the top of this page. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
